Based on its 20 years development experience in the HCL (IBM) Notes/Domino space, BCC has developed a server based migration solution, which allows a highly automated, fast and secure migration of mails, calendar entries and Domino applications to Microsoft Exchange and Microsoft Office 365 environments.

Using the server based BCC Mail Migration Engine has benefits of speed and efficiency for every platform. Without the need to install client migration farms to cope with encrypted messages, you can move your migration plans forward, faster than with other methods. Taking a structured approach to the migration, our team will help you with industry insights and proven skills to make your migration a success. To find out more about mail migration for your system, click on your mail platform below for more details. Once you have migrated your mail systems there can be some archives or applications left behind. There are products to help with this scenario and these are detailed in the MailProtect Coexistence Gateway and MailProtect Webmail Archive sections.

    BCC´s unique features:

    • Transparent and fully automated process for transferring local databases, mail files or calendar entries without user interaction.
    • Direct execution on the Domino server does not require extensive migration workstations (migration farms).
    • No access to sensitive data by technical user ID or technical personnel during the migration.
    • The entire migration process is comprehensively logged and provided in the form of reports. The logging of the migration process can be provided directly in an Excel sheet.

BCC Mail Migration Engine now offers a mail migration from Exchange / Office 365 to HCL Domino. It supports migrations from older MS Exchange versions such as 2010 and all current versions from 2013 to 2019 and Office 365.

BCC Mail Migration Engine for HCL Domino to Microsoft Exchange and Microsoft Office 365

Server-based execution of the migration engine enables
highly automated and high-performance migration and no
extensive client migration workstations (migration farms)
are required. No technical user IDs are used to access
sensitive mail data. Migration is configured through flexible profiles and assigning them to groups or users: Direct migration of production mail files and different handling of the migration
for mails to be archived in Exchange or Microsoft Office 365. ”High Performance Sync Migration” (sever-based,
    multithreading support and adjustable channel-based
migration engine according to throttling and system
restrictions). Allows a flexible and time-controlled
advanced migration of the mails. This removes mass data
transfer “bottle necks” and makes it possible to do a
Migration data check, before cut-over by IT Support / End
User. Balancing the migration times to avoid peak traffic
    periods.

Migration from the following Mail Notes elements:
    Mail messages:
    User mailboxes, shared mailboxes, mailbox
archives, resource mailboxes. Templates as a draft, drafts,
waste paper bin, orphaned documents / documents not included
in any view or folder can be migrated to a default folder (freely
    definable).

    Calendar entries:
    Meetings, Appointments, Reminders,
Anniversary, “split” bundled dates in Exchange as single
dates, Encrypted calendar entries and set the “private” flag.
Management of Exchange mailbox categories and color coding
of migrated Notes calendar entries. Seamless migration of
recurring events / repeating appointments. Collection folder
for non-displayed calendar notification (normally suppressed in the inbox) and orphaned documents (notes without folder). Bidirectional calendar synchronization during the realization of a coexistence phase for the provision of free/busy information in Notes and Exchange / Exchange-Online.

    Contact:
Migration of personal address books. To Do / Tasks,
Contacts in the mail database. Migration of OutOfOffice
Settings during the Migration from Notes to Exchange.
The transfer takes place including profile images, personal
    groups from mail database.

    Resource database:
Transfer all appointments of a resource
database into an existing Exchange resource database.

    Migration of encrypted Notes Mails:
The migration of mail encrypted with Notes PKI is a major challenge for mail migrations to Microsoft Exchange and Microsoft Office 365, which can be handled in two steps by BCC.

    Analysis:
The BCC Migration Engine allows the analysis and clear
evaluation of encrypted mails per user. BCC Migration Engine can make all encrypted emails available to the user in an unencrypted format. BCC Migration Engine can utilize the Domino IDVault to automatically decrypt emails.

    Migration of encrypted data:
The migration of the encrypted Notes Mails can be done from the server in different variants. Simple decryption, encryption with S/MIME, conversion to encrypted PDF and Notes encrypted mail and Outlook encrypted mail. If the Migration Engine detects an error during re-encryption using S/MIME it can attempt automated error handling. It will also fallback to plaintext conversion if this fails.

MailProtect Coexistence Gateway for HCL Domino
During the coexistence phase, the MailProtect Coexistence
Gateway supports Domino applications that are sending mail
to already migrated Notes users, with the following features:
    • Conversion of Notes formats such as rich text sections
      and tables.
    • Conversion / transfer of attachment placeholders
      Conversion of Notes DocLinks
    • Rule based intelligent conversion of the Notes mail
addresses including Notes domains in SMTP addresses
    • Intelligent mail delivery to Exchange users who no longer
have a person document in the Domino Directory.

MailProtect Coexistence Gateway can work without the use
of forwarding addresses in the Domino Directory and allows
the operation of HCL Domino Applications with cheaper HCL
    Domino Utility Server licenses.

BCC Mail Migration Engine for Microsoft Exchange and Microsoft Office 365

BCC Migration Engine also allows highly automated migration
within Microsoft mail systems: Exchange to Exchange, Exchange
to Microsoft Office 365 and Microsoft Office 365 to Microsoft
Office 365 tenants. Server based execution in conjunction
with migration profiles allow flexible planning of user groups,
migration times and mail data to be migrated: Rule-based
selection of content can be based on many criteria. Time based
or data type selections are possible along with selecting all data
    types to migrate everything.

    • Fully automate the migration of mailboxes and users into
a new Active Directory, Microsoft Office 365 or new
Microsoft Office 365 tenant without User Impact.
    • Start of migrations based on date and time and end of
migration can be set via success criteria.
    • Query or Post Migration actions can be run automatically.
These can include, emails, scripts or mail forwarding
      changes.
    • BCC Sync Migration allows a background migration with
the only the latest mails to be migrated. In addition, the
Migration Engine can provide a single migration run or a
phased synchronization. The subsequent migration syncs
only migrate changes to the new mailbox.
    • Execution of test migrations
    • Integration with BCC Self Service Portal: The optional
integration with the web-based BCC Self Service Portal
allows the end user or IT support to start and control
the migration. No direct access rights to the source and target system mailboxes are required. Users can be notified by email before and after migration.
    • Detailed logging and reporting of migrated/synchronized
data allow a comprehensive evaluation and control of the
migrated data. The reports can be written to a MS Excel file for further analysis.
    • Database or text based logging for integration with third
      party apps and interfaces.
    • Public Folder Migration: Automated migration of public
folders to Exchange 2013, 2016 or Microsoft Office 365
      based on PowerShell technologies.
    MailProtect Webmail Archive

BCC’s MailProtect Webmail Archive makes a complete conversion of the Notes mailbox into a “browser compatible format”. The contents of the Notes mailbox can then be accessed locally via the browser or Microsoft IIS or any other http server.

    • Server based conversion of Notes mailboxes.
    • Use CSS Stylesheets when converting mails and folders.
    • Timely flexible control as ‘one time’ tasks or a regular
      conversion schedule.
    • Profile based selection of the mail documents to be
converted: selection by means of delivery time, file types,
sender, recipient etc. are all possible.
    • Flexible definition of storage locations. Optional export of mails as EML, calendar appointments as .ics and contacts as .vcf files.

The WebMail Archive allows you to use the Notes mailbox in
the browser. With using the CSS style sheets the browser
interface can be provided with corporate logo, colours etc.

BCC WebMail Archive offers the following functions:

    • Search for mails
    • Forwarding of mails
    • Reply to mails
