Scenario

In many organisations, a single individual often creates objects or invites guest users, becoming the sole owner of these objects. This owner has full control to make changes and manage details such as identity, purpose, and access duration. However, if this owner leaves the company or is unavailable, these objects can become orphaned, leaving them unmanaged and accessible only by global admins. This scenario creates a risk of neglected resources and potential security breaches.

1. Multiple Owners Assignment

Shared Responsibility

Assign more than one business owner to each object to distribute responsibilities and reduce the risk of orphaned objects.

Flexible Assignments

Owners can be added or changed at any time, not just when the object is created, to maintain continuous management.

Dynamic Updates

Update the ownership or membership structure of any object as needed.

2. Minimum Ownership Policy

Policy Enforcement

Implement a minimum business ownership policy across your tenant. For example, require at least two owners for each object to prevent orphaned objects. This policy can also be configured on a template level – some objects may require two, others four owners.

Creation Restrictions

Objects that do not meet the minimum ownership requirements cannot be created, ensuring compliance with governance policies from the outset.
